Refund Policy

EmCare Training LLC is committed to maintaining a fair and transparent refund process. This Refund Policy applies to course registrations, group bookings, blended-learning courses, skills sessions, digital course materials, and other training services purchased directly from EmCare Training LLC.

By purchasing or registering for a course or service, the student, purchaser, or organization making the reservation agrees to this Refund Policy.

1. IndividualCourse Registration Refunds

Students who cancel an individual course registration may be eligible for a partial refund based on when EmCare Training receives the written cancellation request.

Seven or More Calendar Days Before the Course

Cancellations received at least seven calendar days before the scheduled course start date are eligible for a refund equal to 90% of the refundable course fee.

More Than 48 Hours but Fewer Than Seven Calendar Days Before the Course

Cancellations received more than 48 hours but fewer than seven calendar days before the scheduled course start time are eligible for a refund equal to 75% of the refundable course fee.

Between 12 and 48 Hours Before the Course

Cancellations received between 12 and 48 hours before the scheduled course start time are eligible for a refund equal to 35% of the refundable course fee.

Fewer Than 12 Hours Before the Course

Cancellations received fewer than 12 hours before the scheduled course start time are not eligible for a refund.

No refunds will be issued after a course has started.

2. Group Booking Refunds

A group booking is a reservation for five or more students.

Groups must submit a written cancellation request at least seven business days before the scheduled course date to be eligible for a refund.

Qualifying group cancellations are eligible for a refund equal to 90% of the refundable amount paid.

Group cancellations received fewer than seven business days before the scheduled course date are not eligible for a refund unless EmCare Training approves an exception in writing.

The required 50% group-booking deposit is included in the amount paid and is subject to this group refund policy.

Any nonrefundable expenses already incurred by EmCare Training may be deducted from an otherwise eligible refund. These expenses may include:

  • Online-course access or activation codes;
  • Digital or printed course materials;
  • Customized training materials;
  • Facility expenses;
  • Instructor travel expenses;
  • Shipping charges; and
  • Third-party processing or certification fees.

3. Blended-Learning Course Refunds

A blended-learning course includes an online educational component and a separate skills session.

Before Accessing the Online Course

A student who cancels before accessing, opening, beginning, downloading, or activating the online course may be eligible for a full refund.

When a nonrefundable third-party access code, electronic course, digital product, or course material has already been issued or activated, its cost may be deducted from the refund.

After Accessing the Online Course

Once a student accesses, opens, begins, downloads, activates, or completes any portion of the online course, the online-course and digital-material portions of the purchase become nonrefundable.

When the blended-course package contains a separately identified skills-session fee, that portion may remain refundable only when:

  • The skills session has not been scheduled;
  • The student has not attended or begun a skills session; and
  • The request otherwise qualifies under this Refund Policy.

4. Skills-Session Refunds

Before Scheduling a Skills Session

When a student has paid a separately identified skills-session fee but has not yet scheduled an appointment, the skills-session fee may be eligible for a refund.

This does not include the value of online courses, activation codes, digital materials, or other nonrefundable products that have already been accessed or issued.

After Scheduling a Skills Session

Once a skills-session appointment has been scheduled, the skills-session fee becomes nonrefundable if the student cancels, misses, or fails to attend the appointment.

The student may be permitted to reschedule in accordance with EmCare Training’s Class Terms and Conditions. Any applicable rescheduling fee is separate from this Refund Policy.

Skills Sessions Completed Elsewhere

Students who choose to complete their skills session through another training center are responsible for all costs charged by that training center.

EmCare Training will not reimburse:

  • Fees paid to another training center;
  • Travel or transportation expenses;
  • Testing or certification charges imposed by another provider; or
  • The value of an EmCare skills session included in a blended-course package that the student chooses not to use.

5. Courses or Skills Sessions Canceled by EmCare

When EmCare Training cancels a course or skills session, affected students may choose between:

  • A full refund of the applicable amount paid directly to EmCare Training; or
  • Transfer to another available EmCare course or skills-session date without an additional rescheduling fee.

When only one portion of a blended-learning program is canceled, the refund will be limited to the canceled portion unless EmCare determines that the cancellation prevents the student from completing the overall program.

EmCare Training is not responsible for incidental or third-party expenses, including:

  • Transportation;
  • Lodging;
  • Parking;
  • Childcare;
  • Meals;
  • Lost wages;
  • Missed work; or
  • Fees paid to another organization.

6. Late Arrivals, No-Shows, and Missed Courses

Students are expected to arrive before the scheduled course or skills-session start time.

A student who arrives 15 minutes or more late may not be permitted to participate and will not be eligible for a refund.

Refunds will not be issued when a student:

  • Fails to attend;
  • Misses the course or appointment;
  • Arrives 15 minutes or more late;
  • Leaves before completing the required training;
  • Fails to bring required course documentation;
  • Fails to complete an online prerequisite;
  • Attends the wrong course, date, or location because of information entered incorrectly during registration; or
  • Does not receive written confirmation that a requested cancellation or change was approved.

7. Course Completion and Certification

Course registration and attendance do not guarantee successful completion or certification.

Refunds will not be issued solely because a student:

  • Does not pass a written examination;
  • Does not pass a required skills evaluation;
  • Does not demonstrate the required level of proficiency;
  • Does not satisfy attendance requirements;
  • Does not complete the course within the required timeframe;
  • Does not qualify for certification;
  • Allows an online course or certification deadline to expire; or
  • Is unable to perform an essential course requirement.

When permitted by the applicable training program, EmCare may offer remediation, retesting, or an additional skills session. Additional charges may apply.

8. Digital Products and Course Materials

The following items are generally nonrefundable once they have been accessed, opened, downloaded, activated, issued, or used:

  • Online courses;
  • Digital downloads;
  • Electronic course materials;
  • Course access or activation codes;
  • Electronic books or manuals;
  • Printed books or workbooks;
  • Student supplies;
  • Customized training materials;
  • Certification-provider fees; and
  • Other third-party educational resources.

When these items are included in a course package, their value may be deducted from an otherwise eligible refund.

Shipping, handling, and payment-processing charges are nonrefundable unless the refund is required because of an error made by EmCare Training.

9. Conduct and Safety Removals

A student who is denied admission or removed from a course because of unsafe, disruptive, threatening, fraudulent, or inappropriate behavior is not eligible for a refund.

This includes, but is not limited to:

  • Refusing to follow instructor directions;
  • Creating an unsafe training environment;
  • Harassing or threatening another person;
  • Damaging equipment or property;
  • Cheating or falsifying course records;
  • Attempting to copy or distribute examinations or protected materials;
  • Appearing impaired by alcohol or another substance; or
  • Wearing attire that prevents safe participation after being advised of the course requirements.

10. Medical Issues and Personal Emergencies

Refund requests involving a medical issue, family emergency, or other extraordinary circumstance will be reviewed individually.

Submitting documentation does not guarantee that a refund will be approved. When appropriate, EmCare Training may offer a course transfer or account credit instead of a monetary refund.

Any exception must be approved by EmCare Training in writing.

11. Promotional, Discounted, and Complimentary Registrations

Refunds are calculated based on the amount actually paid by the purchaser, not the regular advertised value of the course.

Promotional codes, discounts, scholarships, complimentary registrations, account credits, or gift certificates have no cash value and will not be refunded as cash.

When a purchase was made using both a monetary payment and an account credit or gift certificate, any approved refund may be returned using the same combination of payment methods.

12. Refund Request Process

All refund requests must be submitted in writing by email to:

The request should include:

  • The student’s full name;
  • The purchaser’s name, when different;
  • The course title;
  • The scheduled course date and time;
  • The registration or order number, when available;
  • The reason for the refund request; and
  • Any relevant supporting information.

The date and time that EmCare Training receives the written request will determine refund eligibility.

Leaving a voicemail, contacting an instructor personally, or failing to attend does not constitute a valid cancellation or refund request.

13. Refund Processing

Approved refunds will generally be processed within 7 to 14 business days after approval.

Refunds will ordinarily be returned to the original payment method. EmCare Training may require additional information when the original payment method is unavailable or when the original transaction cannot be refunded electronically.

Banks, credit-card companies, and payment processors may require additional time to post the refund to the customer’s account. EmCare Training does not control those processing times.

Refunds will not be issued to a person or organization other than the original purchaser unless required by law or authorized in writing by the purchaser.

14. Chargebacks and Payment Disputes

Customers are encouraged to contact EmCare Training before initiating a chargeback or payment dispute so that we may review the matter and attempt to resolve it.

Submitting a chargeback does not automatically establish eligibility for a refund. EmCare Training may provide the applicable registration records, attendance records, course-access history, communications, and accepted policies to the payment processor when responding to a dispute.

15. Policy Exceptions

Any exception to this Refund Policy must be approved by EmCare Training in writing.

An instructor’s verbal statement does not modify this policy unless the change is subsequently confirmed in writing by an authorized EmCare Training representative.

Nothing in this policy limits any non-waivable rights or remedies available under applicable law.

17. Acceptance of the Refund Policy

By registering for or purchasing a course, skills session, blended-learning program, or related product, the student or purchaser confirms that they reviewed and accepted this Refund Policy before completing the purchase.

The version of the Refund Policy presented or linked at the time of purchase will apply to that transaction.
